Booking


Please note that I do have bookings up to 2 years ahead at any time so I do advise you to book and reserve your date with a deposit as early as possible to avoid disappointment.

If you have time I recommend that you have a quick read of the booking advice below as this contains useful information and may save you from falling into one or two common traps regarding venues and entertainment.


How to Book


1. Have your date, venue and playing times ready along with any special requirements when you get in touch.

If you are not too sure which service to book we can have a chat and I will recommend a product or service for you.


2. If you decide to book I require a deposit of £150 to reserve the date for you.  You can pay online and I supply you with a receipt for  your payment which also acts as a confirmation letter.  This will be updated with any future payments that you make against the balance.
If your booking includes my Starlight Dance Floor then the deposit required to reserve the date is £150.

If your event takes place within 12 weeks I require payment in full to reserve the date.


3. Once you have booked, have a think about your music preferences and the style and feel of your event, plus anything extra such as niche music or special features.  We can meet up for a chat about this at some point before your event or we can finalise the details over a phone call, email, text, or by you completing my event form online.


4. The balance of your booking must be cleared 12 weeks before the big day. This date is detailed on your invoice and I send a reminder too.


5. You can contact me at any time if you have any questions at all leading up to your event.

 

I have the relevant certificates and insurance documents that your venue will require.  There is a copy of them here for you to view or download. 

For your peace of mind I am a member of the National Association of DJs ( www.NADJ.org ) who among other things can provide cover in an emergency. Please don't worry, in over 20 years of DJing I have never let anyone down on a booking.


Terms & Conditions


Payments

Deposits are required to reserve a booking and are non-refundable if cancelled within 12 weeks of the event date.  The remaining full balance for your booking is due a minimum 12 weeks before the event date.  I reserve the right to cancel any bookings that are not paid in full 12 weeks before the event date with no deposit refunded.  Should a date need to be rescheduled further ahead, the balance will still be due on the original due date to retain the booking.


Cancellations & Refunds

Should you need to cancel your booking please let me know as early as possible.   If your booking is more than 12 weeks away I will generally be happy to refund your deposit and any balance payments made.  For cancellations within 12 weeks of the event date, I will only refund the balance portion of the booking if I get a replacement booking for that date.  The deposit portion of the booking is non-refundable within 12 weeks of the event date.  All refunds are at my discretion to allow for unusual conditions.


Bookings General

Minimum set up and pack down times are required along with reasonable access to the venue. If these are not available on the event date I reserve the right to refuse to provide the service or to deliver the service outside of the original timings or parameters.

I will not accept any excessive rude or abusive behaviour. If such behaviour becomes unreasonable I reserve the right to cease the provision of services with no refunds given.

Should any client or guest perform a "mic drop" while using my equipment, any resulting damage to the microphone or PA system must be paid for in full by the client.

Should an event die off earlier than planned, I reserve the right to cease my services within reasonable circumstances with no refunds given.

Full access to all drinks and food services must be available to myself and my staff to purchase


Dance Floor and Equipment

Clients and venue staff are not permitted to use, move or clean any of my equipment without my express consent.  Any losses or damages resulting from this is liable by the client.  Loss or damage resulting from drunken clients falling on equipment, spilling drinks on equipment or other such damage is liable by the client.



Booking Advice

 

As I attend many parties and celebrations, I often experience clients having problems with their venue or arrangements during their event.

This is often due to venue policies not always being brought to the clients attention at the time of booking, so here are a few brief tips on things to check when you book your event.


VENUES

Just like us DJs, venues vary in price verses what they offer or will allow you to do, so make sure that you check on details such as their operating hours (including time allowed for setting up and packing down before and after the event), the number of staff attending to your party (especially how many staff will be serving on the bar as many venues cut corners on this resulting in long bar queues!), parking facilities and options for your guests to stay overnight (at various budgets within the venue or nearby).

This may all sound a little obvious, but once you have paid your deposit.....suddenly those 2 bar staff not able to serve all of your guests without a 15 minute wait, or only room for 10 cars, or you only having 30 mins to clear the whole room of your beautiful decorations can put a dampener on a special event.

 

DJ TIMINGS

Ensure that your venue allows a minimum of 1 hour for a DJ to set up and the same to pack down. More time is required if you also have other products booked such as a Dance Floor or Uplighting etc. Ideally I like to allow extra set up time so that I don't have to rush and have time to deal with any issues or interruptions.  Packing down is always much quicker.

 

MUSIC VOLUME

Check that your venue will allow you to have the music as loud as you require......even if you don't want it particularly loud.  Many venues are subject to noise control rules or have bedrooms above the function space.  Many also have sound limiters that cut off the power at a certain volume which can also damage my expensive equipment.  I therefore have no choice but to play below this threshold, which may not be as loud as you would like.

You may not want the music volume really high but I have played at parties where the talking on the dance floor is louder than the music being played and the clients have not been allowed to turn it up.   This can make it hard to create a party atmosphere in the room and on the dance floor.

 

HAZE MACHINES  & LIGHTING

Most people and venues misunderstand the proper use of haze machines so they simply say "No, I don't want haze or smoke" or "It sets off my asthma or the fire alarm!".


If you want a really amazing light show where you can see the light beams as you would in a nightclub, concert or theatre, make sure that you book a venue that allows the use of a haze machine.

Sadly 90% of venues do not allow haze machines any more as the venues are fitted with unsuitable fire detection as opposed to theatres and concert venues.

Like most quality DJs, I have the latest in LED lighting and it is synchronized and programmed to enhance the music.  We put a lot of work into this and it is of course acceptable without any haze.  However, if you really want the concert effect lighting, a venue allowing haze should be considered.
